What a host sorts out after accepting a guest
Send the venue, time and dress code. Confirm what you are offering, wait for their reply, keep a backup guest, and book the reservation.

Once you accept a guest, the date is not locked in yet. You need to send them the details, hear back that they still want to come, and sort out the practical things on your end. Here is what goes on the checklist.
Send the venue, time and dress code straight away
Your invitation mentioned what you were offering, but they do not know where or when. Write the venue name, the exact time you want to meet, and the dress code. Be specific. A hotel bar at 7pm, smart casual, gives them everything they need. A vague "somewhere nice later" makes them wonder if you are serious.
If the venue has a reservation name, tell them that too. That way they can find it easily and they know you have booked it.
Tell them how to get there and back home
Do not assume they know the city or can navigate to the place. Send them the address, and if it is somewhere tricky to find, the postcode or a map link. Say whether there is paid parking, public transport nearby, or if you are picking them up and bringing them back.
If you are meeting them at the venue and they are using a taxi or rideshare, offer to cover it. They will be more relaxed if they know they do not have to think about the money for getting home. This also signals that you are serious and organised.
Confirm exactly what the offer covers
Your Board post said what you were offering: a dinner, drinks, an experience, a weekend. Now that they have accepted, be clear about what that means. Are you paying for their meal and drinks? Their entry to an event? A hotel? The more you spell out now, the less chance there is of an awkward conversation later.
If there are limits, say them. "Dinner and drinks tonight" is clear. "Dinner and drinks, and I am happy to pay for any entertainment you want" is also clear. If you have a budget, you do not need to name the figure, but saying "I have made a reservation for us" or "I have arranged a private dinner" tells them you are serious.
Ask for their confirmation, and wait 48 hours
Send all this in one message. Then ask them to confirm they still want to meet, and give them a deadline. Something like this:
I would love to see you on Thursday at 7pm at the Botanical Bar. It is on King Street in the city centre. The postcode is... I will book a table for dinner, and I will cover everything. Please wear smart casual. Can you let me know by tomorrow evening if you want to come?
If they do not reply in 48 hours, assume they have changed their mind. Do not chase them more than once. People who want to meet will reply quickly.
Keep a backup guest in case
While you wait for their confirmation, keep talking to other applicants on the Board. Do not make a decision with them yet, but keep the conversation going. If your first choice falls through, you do not have to start from scratch. This is ordinary sense, not unkind. You are not committing to anyone until both of you confirm.
Book what needs booking
Once they confirm, book the table, the tickets, the hotel, or whatever the plan is. Do not wait. A reservation with a name makes a date feel real to both of you, and it forces you to follow through. If the restaurant or venue is popular, a booking also means you will not waste time waiting when you arrive.
If you are planning something bigger, like a weekend trip, book the hotel and any transport now. You can give them the details later so they can plan what to pack.
Check in on dress codes and logistics
Once the booking is done, send them the confirmation details: the reservation time, the address, the parking or transport information, and anything they need to know. If the venue has a particular look or dress code, say it again. If they need to bring anything, say it now.
If you said you would cover their transport home and you meant a taxi, give them a budget or arrange it in advance. If you meant you would drive them, make that clear. Surprises about money or logistics can ruin a good date.
The day before or morning of, confirm one more time
Send a short message the day before: "Still looking forward to tomorrow at 7pm at the Botanical Bar. See you then." It tells them you are thinking about them and you are definitely coming. If they get cold feet, they can say so now instead of ghosting you. And if something has come up on your end, you can tell them while there is still time to sort it out.
